Cleaning a softener means three separate jobs that people tend to run together: clearing the brine tank of sludge and salt bridging, cleaning the resin bed of iron and organic fouling, and sanitizing the system after either. Doing them in the right order, once a year for most households, is what keeps a softener regenerating properly instead of quietly failing.
Start with the brine tank
Put the softener into bypass and let the salt level run low before you begin, because you will be emptying whatever is left. Scoop out the remaining salt, then look for a hard crust bridging across the tank with a void beneath it, which stops salt reaching the water and produces brine too weak to regenerate the resin. Break a bridge carefully with a broom handle rather than anything you could puncture the tank with. Underneath, expect a layer of insoluble sludge from the salt itself, which is normal and needs removing.
Washing the tank and the brine well
Lift out the brine well, the vertical tube housing the float and air check, and wash it separately. Scrub the tank with warm water and dish soap, rinse thoroughly and dry it, taking the opportunity to check the grid plate if the tank has one and the brine line fitting for splits. Reassemble, then refill with fresh salt to the level the manufacturer recommends rather than to the brim, since an overfilled tank is the main cause of bridging in the first place. Softener salt only, not rock salt with high insoluble content.
Cleaning the resin bed
Resin does not get replaced on a schedule, but it does get fouled. Iron coats it, organics coat it, and a fouled bed loses capacity long before it looks like anything is wrong. Resin cleaner is poured into the brine well and then drawn through on the next regeneration, which strips the deposits and flushes them to drain. Wells with any iron content benefit from doing this a few times a year rather than annually. If capacity has dropped and cleaning does not restore it, the resin is genuinely spent and needs replacing.
Sanitizing after the job
Any time you have had the brine tank open or the head apart, sanitize before returning the unit to service. The usual method is a measured dose of unscented household bleach or a proprietary sanitizer added to the brine well, followed by a manual regeneration that carries it through the resin bed and out to drain. Run the taps afterward until no chlorine smell remains. Check your own manufacturer instructions first, because a few resin types and some manufacturers specify a different sanitizer.
The parts that get missed
Two components account for most of the service calls that turn out to be cleaning jobs. The venturi and injector assembly in the control head draws brine during regeneration, and a grain of grit in it stops the softener drawing brine at all while the machine appears to cycle normally.
