A water hardness tester is one of three things: a dip strip, a titration drop kit, or a lab panel. Strips give a band in seconds, drop kits give a real number in a couple of minutes, and a lab gives hardness plus everything else that affects the decision. The handheld TDS meter many people reach for is not a hardness tester at all.
Drop kits give the number you can size from
A titration drop kit works by adding reagent one drop at a time to a measured sample and counting drops until the color flips. The count is the hardness, read off the instructions. It is the most useful home tool for someone about to buy a softener, because softener sizing needs a figure, not a color band, and the figure has to be in the unit the sizing calculation uses. It is also repeatable: run the same sample twice and you should land within a drop. Keep the vial clean, hold the dropper vertical so drop size is consistent, and count out loud, because a miscount of one drop moves the answer by a full increment.
Why a TDS meter is the wrong tool
A handheld TDS or conductivity meter measures total dissolved solids as an electrical property. Hardness is a part of that total, but so are sodium, chloride, sulfate, nitrate and everything else dissolved. Two supplies with identical meter readings can have wildly different hardness. The meter is genuinely useful for tracking a reverse osmosis membrane, where you compare feed and product on the same water, and it is useless for deciding whether you need a softener. If a salesperson demonstrates hardness with a meter or with an electrolysis gadget that turns your water brown, treat the demonstration as theater rather than data.
Grains per gallon versus milligrams per liter
This is where most conversations go wrong. Softener capacity is specified in grains, so North American sizing is done in grains per gallon, while lab reports and the standard hardness scale are usually in milligrams per liter as calcium carbonate. The USGS classification runs soft at 0 to 60 mg/L, moderately hard from 61 to 120, hard from 121 to 180, and very hard above 180 mg/L. A tester that reports in one unit and a quote that assumes the other produce a badly sized system. Always write down the unit next to the number, and when comparing quotes, confirm every vendor is working from the same figure in the same unit.
When to send it to a lab instead
Buy a lab panel rather than a tester when there is iron in the water, because sizing has to compensate for iron and a hardness figure alone will undersize the unit; when the water is from a well, because hardness is rarely the only issue; or when you are about to spend real money and want pH, alkalinity, iron, manganese and dissolved solids on the same page.
