A sizing calculator returns a number, usually a grain capacity, and most people buy from it and never think about it again. That number also implies how the installed unit should be programmed, and getting the programming right is where the difference between an efficient softener and a wasteful one actually lives.
What the capacity figure means
Grain capacity describes how much hardness the resin bed can hold before it must be regenerated. Divide it by your water's hardness and you get the volume of water treated per regeneration; divide that by daily use and you get the interval. The calculator picks a size that lands that interval in a sensible range, neither daily nor once a fortnight, because both extremes are inefficient: frequent regeneration wastes salt and water, and very long intervals leave resin sitting fully loaded between cycles.
Capacity and salt dose are not the same number
A resin bed's capacity depends on how much salt is used to regenerate it, and the relationship is not linear. A high salt setting extracts more capacity from the same resin but uses disproportionately more salt for the last part of it. A lower setting gives less capacity per regeneration but far better salt efficiency, which is why a larger unit programmed at a modest salt dose usually costs less to run than a smaller one pushed hard. Metered against timed, and the reserve
A metered valve counts water used and regenerates on volume, which follows real demand. A timer regenerates on a schedule regardless, which wastes salt in a quiet week and delivers hard water in a busy one. On a metered unit there is also a reserve: capacity held back so the household does not run out between the trigger point and the overnight regeneration. Set the reserve from a realistic heavy day rather than an average, since running out mid week is what makes people distrust a correctly sized unit.
When to distrust the result
If the hardness figure was a regional estimate rather than a measurement, or was entered in the wrong unit, the whole answer is wrong, and the two hardness units in common use produce very different numbers. If the water carries iron, that consumes capacity and must be included, and Penn State Extension notes softeners handle dissolved iron only when pH is above 6.7, hardness is 3 to 20 grains per gallon and dissolved iron is under 5 mg/L.
