A water softener size calculator multiplies three things: how hard your water is, how much water the household uses in a day, and how many days you want between regenerations. The output is a grain capacity. Everything that goes wrong with sizing comes from feeding the calculator a guess instead of a measurement for one of those three inputs.
Input one: hardness, measured not assumed
Hardness is dissolved calcium and magnesium, and the USGS scale runs from soft at up to 60 mg/L as calcium carbonate through moderately hard, hard, and very hard above 180 mg/L. Softener sizing is normally done in grains per gallon, so a laboratory or utility figure in milligrams per liter has to be converted before it enters the calculator. On a well, use a current lab result. On city water, the utility's annual report carries the number, and the EPA maintains a finder for those reports.
Input two: the iron correction people forget
Dissolved iron consumes softener capacity as if it were extra hardness, and calculators handle this by adding a compensating figure to the hardness before multiplying. Skipping it is why a correctly sized unit runs hard by the end of the week on a well. Penn State Extension notes that a softener can remove dissolved iron only within a narrow window, needing pH above 6.7, hardness of 3 to 20 grains per gallon and dissolved iron under 5 mg/L, and that oxidized iron fouls resin. Beyond that window, filter the iron out first.
Input three: real household demand
Calculators default to a per person per day allowance and multiply by occupants, which is fine as a starting point and wrong for a house with a large soaking tub, a water fed ice maker, an irrigation tie in or long teenage showers. The better input is your own water bill or well meter reading divided by days. Count only the water that will pass through the softener: outside spigots and a dedicated unsoftened drinking tap are excluded, and that exclusion often shifts the answer by a whole size.
Reading the answer without being sold up
The grain capacity that comes out is compared with the ratings vendors publish for their units, which are usually quoted in nominal grains and step up in fixed increments. Pick the size at or just above your figure. Very oversized units regenerate so seldom that the resin bed channels and the brine tank stagnates, while undersized units either run out of soft water or regenerate constantly, wasting salt and water. Also check the unit's service flow rating against your peak demand, not just its capacity.
Metered versus timed, and why it changes the sizing
A timer based valve regenerates on a clock whether you used the capacity or not, so it has to be sized for a worst case day. A metered valve counts gallons and regenerates when the capacity is genuinely spent, which tolerates variable use and vacations and uses far less salt. Almost every modern unit is metered, and it means you can size to actual demand rather than to the worst week of the year.
